1. What exactly is deleted
The account holds everything created during use: the forms, the responses received, the settings, the integrations, the people invited and the history.
Deleting the account is not signing out — it is ending your presence on the platform entirely. Everyone who had access through it loses it at the same moment, and no reduced version of the account remains.
If your goal is only to stop paying, cut costs or remove someone from the system, see the alternatives in section 9 before deleting.
2. Who can delete the account
Only the account owner — whoever created it or currently holds it. No other user sees this option: administrators, managers and other members simply have no access to it.
This is a deliberate lock. A definitive action that erases the work of everyone using that account cannot depend on the access of any member.
The request is also limited to a few attempts per hour, as extra protection in case of a compromised session.
3. If you were invited to someone else's account
Someone who joined by invitation does not delete the account: it is not theirs. What applies in your case is removal of your access, which the account owner performs in team management.
Once removed, your access ends and your sessions are revoked. The records you created during use continue to belong to the account that invited you — it is that account which answers for such data, as controller.
For that reason, requests to erase personal data held inside someone else's account must be addressed to whoever controls that account. We act as processors in that situation; if the request reaches us, we forward it to the controller and provide the necessary support. Your rights are described in the Privacy Policy.
4. If you have lost access to the account
Deletion is only carried out from inside the account, with authentication. We do not delete an account at the request of someone who cannot prove ownership — and that is a protection, not a barrier: a request by e-mail would be exactly the route for anyone wanting to erase another person's work.
If you cannot sign in, the path is to recover access first: use password recovery on the login screen and, if that still does not work, open a request in the public privacy form — it requires no login precisely to serve people in that situation. We will help restore access upon verification that you are the owner and, once access is restored, you complete the deletion yourself.
If the reason is the departure of the person listed as account owner, ownership can be transferred upon documentary verification that the request is legitimate, through the same form.
5. What to do before deleting
Save what you will need: export the responses that still matter to your operation, as CSV, Excel or PDF, in the formats offered by the Platform.
Close what is pending: published links, forms embedded in web pages and QR codes already printed stop working at the same moment, and the custom domain stops serving the forms. Copies already sent to Google spreadsheets or webhooks stay in the destination systems, which are yours — deleting the account does not reach them.
Tell whoever uses the account with you: everyone is signed out at the same moment and receives an e-mail about the closure.
Have your password at hand and, if the account uses two-factor verification, the authenticator app too — both are requested at confirmation.
6. The path inside the platform
Sign in to WiseData Forms with the account owner's access, open Settings and, in the Advanced group, the Danger zone tab, which gathers the actions that cannot be undone. That is where the Delete my account button lives, which opens the three-step confirmation.
Step 1 — Consequences: the first screen lists everything that will happen. It is read-only; nothing has been executed yet.
Step 2 — Reason: you pick the main reason for leaving from a list and, if you wish, write a free-form comment. The reason is required; the comment is not. This feedback helps us improve the product and neither changes nor delays the deletion.
Step 3 — Confirmation: we ask for your current password, the two-factor verification code (if the account has that feature enabled) and the word EXCLUIR (Portuguese for "delete") typed exactly like that, in capital letters, in every language of the platform. Only then is the Delete permanently button released.
At any of the three steps you can go back or cancel with no consequence at all.
7. What happens on confirmation
Deletion is immediate. There is no queue, grace period or cooling-off window: on confirmation, everything below happens at once.
Subscription: cancelled on the spot, with no future charges and no pro-rata refund of the period already paid.
Account data: the forms and their versions, the responses received — including those in the trash and partial ones —, signatures and proofs of consent, exports, QR codes and link aliases, custom domains, webhooks and their delivery history, the Google connection, folders, logos, invitations, access history, tax registration and the audit log are removed from the Platform.
Access: all sessions and tokens are revoked immediately, on any device, including artificial intelligence assistant connections through MCP, and everyone who used the account receives an e-mail about the closure.
Personal data: name, e-mail and phone stop identifying you and your team in our database — they are replaced with anonymous information.
Confirmation: you receive an e-mail confirming the deletion.
The operation runs as a single block: if anything fails midway, nothing is half-deleted — everything is rolled back and the account stays as it was, so you can try again.
8. How long the data takes to disappear
From the Platform, immediately: as soon as you confirm, the data ceases to exist for consultation and access ends.
From backups, within 30 (thirty) days. Backups exist to restore operations in case of disaster and are overwritten by rotation; during that interval the data is neither accessible nor used for any purpose, and at the end of it the data is erased along with the backup.
From the records the law requires us to keep, within the periods in section 10, counted from the deletion.
9. You may not need to delete
Deletion is definitive and erases the history of the entire operation. In many cases there is a lighter path that solves the same problem.
If the goal is to stop paying: cancel the subscription in Settings. At the end of the cycle already paid for, the account moves to the Free plan, which has no time limit, and nothing is deleted.
If the goal is to cut costs: move to a smaller plan. Changing plans does not delete data — what stops being displayed stays stored and becomes accessible again if you return to a plan that covers it.
If the goal is to remove someone from the system: remove that person in team management. The slot is freed and the rest of the account stays intact.
If the goal is to solve a usage problem: talk to us through support or check the Help Center.
10. What is kept — and why
Even after deletion, a few minimal records stay with us for a limited time. This is not a copy of your account: it is information the law requires us to keep, or that protects the Platform itself.
Deletion record: date, stated reason, IP address of the request and confirmation that it came from someone with permission — the evidence that the process was carried out correctly.
Application access logs: kept for 6 (six) months, under article 15 of the Brazilian Civil Rights Framework for the Internet.
Subscription tax documents: kept for 5 (five) years, as required by tax legislation.
Fraud and abuse prevention: we keep minimal indicators that prevent repeated use of the free trial by the same person or company.
All of this is done within the limits of Law 13,709/2018 (LGPD) and only for as long as necessary. Once the deadlines are met, these records are erased too. The full table is in section 15 of the Privacy Policy.
11. After deleting
Access stops working immediately and there is no way to recover the account, the data or the history — not through support, not through a later request.
If one day you want to use WiseData Forms again, you will need to create a new account, starting from scratch. Nothing from the previous account is restored.
12. Questions and rights over your data
For questions about the process, talk to us through the service center while your account is active.
To exercise the rights set out in article 18 of the LGPD — access, correction, anonymization, portability or erasure of personal data — use the public privacy request form. It requires no login and stays available after the account is deleted, which is exactly when the service center stops being reachable. Response times are in section 18 of the Privacy Policy.
